Finding your appointments
Your appointments live on Home and on the Appointments page. From there you can open any appointment to see its client, service, price, deposit status, and payments.
Answering a request
If a client sent a request instead of booking a service directly, it needs your review. Open it from Requests and either send a proposal with a price, deposit and time, or decline it. When the client accepts your proposal, it becomes an appointment on your calendar. Declining lets the client know it will not be happening without blocking their ability to try again with a different idea.
Rescheduling
You can reschedule any upcoming appointment from the appointment's detail view with Reschedule, as long as the new time is free. Front desk cannot reschedule. Clients can reschedule their own appointment too, but only from outside your shop's cancellation window. Inside that window, a client's manage link tells them to contact you directly instead of letting them move it themselves. This keeps a last minute change from silently emptying a slot you can no longer fill.
Canceling
Either you or the client can cancel an appointment. What happens to a deposit depends on timing. A client canceling outside your cancellation window gets their deposit back automatically. The booking fee is not refunded. A client canceling inside that window forfeits it. If you cancel an appointment yourself, for any reason and at any time, a card deposit is refunded in full to the client, and the booking fee comes out of your share. Deposits you recorded by hand, like cash, are not refunded automatically. Hand the money back yourself, then record it with the Refund button.
Completing and no shows
After an appointment happens, press Complete. If a client never showed up, mark it as a no show from the Actions menu instead. This is a manual step you take from the appointment, since tatbook does not guess whether a client showed up. Marking no shows accurately matters because a client with two or more no shows gets a no show risk badge. If you want them gone, block them from their client page and they cannot book with you again.
What clients see along the way
A client who agreed to appointment texts gets a text confirmation once the booking is confirmed, which is after any deposit is paid, and a reminder before their appointment. If you reschedule or cancel on their behalf, they get a text about that too. Their private manage link, sent by text and email once the booking is confirmed, lets them view the appointment and act on it themselves within the limits above, all without creating an account.
Manual refunds
Outside the normal cancellation flow, for example refunding a no show as a goodwill gesture, an appointment's detail view has its own Refund button. It works on any payment you collected that still has money left to refund, card or cash, and you can refund part of it. Owners, managers and the appointment's own artist can use it. Front desk cannot. On a card refund the client gets the amount back and the booking fee comes out of your share.
